Official Transcript Definition

An official transcript is one that has been received directly from NMU. Official transcripts are printed on official transcript (green and white) paper. It must bear the embossed or raised  college seal, date and the Registrar's signature. Transcripts received that do not meet these requirements should not be considered official and should be routinely rejected for permanent use.  -This definition of an official transcript was endorsed by the Michigan Association of Collegiate Registrars and Admissions Officers on November 5, 1987.

Official transcripts are provided in a sealed envelope with the Registrar's signature stamped across the seal. The official transcript should remain in the unopened, sealed envelope until it is presented to the employer, institution or scholarship provider. Northern Michigan University will issue official transcripts to the student.

Official transcripts cannot be faxed.

Official transcripts are required for transfer to another college or university. Official transcripts are also provided to confirm education for professional employment opportunities, teacher or nursing licensure and other credential verification.

Unofficial Transcript Definition

Transcripts that have been in the hands of the student such as student copy/unofficial transcripts are not considered official. Unofficial transcripts are printed on plain paper and do not have a college seal or registrar's signature. Unofficial transcripts cannot be used to transfer to another college or university.

Unofficial transcripts are issued for use by the student only. NMU will not issue unofficial transcripts for other uses.

How to Request a Transcript

In accordance with The Family Educational Rights and Privacy Act of 1974 and Northern Michigan University policy, all requests for transcripts must be submitted in writing. Official transcripts cannot be requested by telephone, e-mail, e-mail attachment or on the Web. To obtain an official transcript, print the Web-based transcript request form and mail to:

Northern Michigan University
Registrar's Office
C.B. Hedgcock, Room 2202
1401 Presque Isle Avenue
Marquette, MI 49855

All transcript requests must include: name, NMU IN (or S.S.# for non-students), signature, transcript fee and the exact address where the transcript is to be sent. Each official transcript is $5 per copy. Unofficial transcripts are $2 per copy. One-Day-Service transcripts cost $15 each. First class postage is included in the transcript fee. A check or money order made out to NMU must be included with all requests mailed to NMU. Transcript requests that do not include correct fees will be returned to sender.

No Exceptions
NMU does not fax transcripts. Transcript requests cannot be accepted verbally or from friends, spouse or relatives in accordance with The Family Educational Rights and Privacy Act of 1974. Exceptions to this policy [FERPA-U.S. privacy laws] are not permitted for anyone, including former students who reside or are stationed in the military overseas. FERPA [federal law] requires written consent by the student to release a transcript. Because it would be a violation of federal law, verbal request can not be honored.

If you are currently living outside the United States, or you have an "emergency situation", you may elect to use the One-Day-Service request option. [See below.]

Transcript Processing Time

NMU makes a reasonable effort to provide transcripts quickly. Transcript requests received in person or by mail are normally processed in two business days, not including the date received. If transcript request volume is heavy or if we experience technical issues, it may take a day or two longer to process. On the flip side, if transcript volume is light, transcripts may be mailed the following business day. Please include mailing labels for faster processing.

All transcript requests are processed in the order in which they are received and on a first-come, first-served basis. Paying express postage does not guarantee faster processing and does not ascertain immediate service.

NMU will not be held responsible for last-minute or overdue transcript requests or penalties that result from delayed requests. NMU will not be held responsible for transcripts that are lost or held up in the mail.

NEW!
One-Day-Service Transcript Requests

One-Day-Service is now an option for emergency situations. The cost for each transcript requested using One-Day-Service is $15 per copy. Once NMU receives the transcript request, it will then be processed within one business day, provided that the Student Service Center is able to process the credit card transaction and that there are no outstanding holds on your NMU account [financial or laptop]. If overnight delivery is also requested, thoroughly review the mail/express mail delivery notes below. One-Day-Service requests received after 11 a.m. EST will not be mailed until the following business day. NMU will not fax the transcript.

To request a One-Day-Service transcript request, fill out the One-Day-Service Transcript Request Form and provide all requested information, including a photo copy of your driver's license and credit card information. Present this form in person to the NMU Student Service Center, C. B. Hedgcock, Room 2201, or fax to the NMU Student Service Center at: 906-227-1331.

NMU does not accept one-day-service requests by email. NOTE: NMU is not responsible for misdirected transcript requests. Be careful dialing the fax number!

Mail/Express Delivery Notes:

You may provide your own pre-paid pre-addressed overnight mail envelope along with your transcript request.

Lost Transcripts-Northern Michigan University is not responsible for mail lost by the U.S. Post Office or the receiving institution. It is highly recommended that students follow-up with the receiving institution to ensure that their transcript are received and correctly routed.

Mailing Labels-For express delivery requests, please include two completed mailing labels for each address. This will help to speed up processing. You can enclose preprinted return address labels for this.

Institutional Mail Delivery-Mail processing at many large institutions, including NMU, is handled by a separate mail services division located across campus at a central warehouse. All institutional mail, including transcripts, are delivered to and sent from the mail services/central warehouse. Depending on the mail service operation and other factors, mail sent to-and-from administrative offices will require at least one additional day for delivery. Due to this factor, One-Day-Service transcript requests received in the afternoon will not leave campus until the following business day.

Apartment Buildings-To ensure delivery to locked mail boxes, mailing addresses which include apartment numbers will be mailed using U.S. Postal Service Express Mail or U.S. Postal Service Priority Mail.

Post Office Boxes-UPS will not deliver mail to Post Office Boxes. If a Post Office Box is provided, transcripts will be mailed using the express services of the U.S. Postal Service.

Complete Mailing Address-You must provide a complete mailing address which includes a school or company name, a street address, city, state and zip code. Requests that do no include a complete mailing address risk delay and slower delivery.

Express Delivery Processing Time-All transcript requests are processed in the order received and on a first-come, first-served basis. Paying for express postage does not guarantee faster processing and does not ascertain immediate service. See Transcript Processing Time above.

Tracking Numbers-NMU will not be held responsible for express delivery that is lost or delayed in the mail. Tracking numbers will be provided only if the package does not arrive when scheduled or if the student desires to seek restitution from the delivery service. Also note Institutional Mail Delivery. If tracking your package is a necessity, you may provide your own pre-paid pre-addressed overnight mail envelope along with your transcript request. Please be sure to note your tracking number prior to mailing.

U.P. Delivery Addresses-Express delivery services to Upper Peninsula, northern lower Michigan and northern Wisconsin addresses are not particularly beneficial or cost-effective. Also, consider that there is no express delivery on the weekend nullifying the extra cost. First class mail will usually suffice.

Inclement Weather-During the winter months, Upper Peninsula weather can be unpredictable. Snow, wind and ice can slow down or stop the transcript operations and/or mail transportation and delivery services. University closures due to inclement weather are posted on the Web at www.nmu.edu.
