Official Transcript Definition

An official transcript is one that has been received directly from NMU. Official transcripts are printed on official transcript (green and white) paper. It must bear the embossed or raised  college seal, date and the Registrar's signature. Transcripts received that do not meet these requirements should not be considered official and should be routinely rejected for permanent use.  -This definition of an official transcript was endorsed by the Michigan Association of Collegiate Registrars and Admissions Officers on November 5, 1987.

Official transcripts are provided in a sealed envelope with the Registrar's signature stamped across the seal. The official transcript should remain in the unopened, sealed envelope until it is presented to the employer, institution or scholarship provider. Northern Michigan University will issue official transcripts to the student.

Official transcripts are required for transfer to another college or university. Official transcripts are also provided to confirm education for professional employment opportunities, teacher or nursing licensure and other credential verification.

Unofficial Transcript Definition

Transcripts that have been in the hands of the student such as student copy/unofficial transcripts are not considered official. Unofficial transcripts are printed on plain paper and do not have a college seal or registrar's signature. Unofficial transcripts cannot be used to transfer to another college or university.

Unofficial transcripts are issued for use by the student only. NMU will not issue unofficial transcripts for other uses.

Transcript Processing Time

NMU makes a reasonable effort to provide transcripts quickly. Transcript requests received in person or by mail are normally processed in two business days, not including the date received. If transcript request volume is heavy or if we experience high-tech issues, it may take a day or two longer to process. Please include mailing labels for faster processing.

Due to a new administrative software system, NMU is unable to provide immediate processing of transcript requests (official and unofficial). Please allow a minimum of two business days for processing. Exceptions cannot be honored.

All transcript requests are processed in the order in which received and on a first-come, first-served basis. Paying additional express postage does not guarantee faster processing and does not ascertain immediate service.

NMU will not be held responsible for last-minute or overdue transcript requests or penalties that result from delayed requests. NMU will not be held responsible for transcripts that are lost or held up in the mail.

Mail Delivery Notes:
Lost Transcripts-Northern Michigan University is not responsible for mail lost by the U.S. Post Office or the receiving institution. If your transcript does not arrive at its destination, you must submit another request and payment. It is highly recommended that students follow-up with the receiving institution to ensure that their transcript are received and correctly routed.

Mailing Labels-For express delivery requests, please include two completed mailing labels for each address. This will help to speed up processing. You can enclose preprinted return address labels for this.

Institutional Mail Delivery-Mail processing at many large institutions, including NMU, is handled by a mail services division at a central receiving warehouse. All institutional mail is delivered to and sent from the mail services division warehouse. Depending on the mail service operation and other factors, mail sent to-and-from administrative offices will require at least one additional day for delivery.

Apartment Buildings-To ensure delivery to locked mail boxes, mailing addresses which include apartment numbers will be mailed using U.S. Postal Service Express Mail or U.S. Postal Service Priority Mail.

Post Office Boxes-UPS will not deliver mail to Post Office Boxes. If a Post Office Box is provided, transcripts will be mailed using the express services of the U.S. Postal Service.

Complete Mailing Address-You must provide a complete mailing address which includes a school or company name, a street address, city, state and zip code. Requests that do no include a complete mailing address risk delay and slower delivery.

Express Delivery Processing Time-All transcript requests are processed in the order received and on a first-come, first-served basis. Paying additional express postage does not guarantee faster processing and does not ascertain immediate service. See Transcript Processing Time above.

Tracking Numbers-NMU will not be held responsible for express delivery that is lost or delayed in the mail. Tracking numbers will be provided only if the package does not arrive when scheduled. Mail Services will provide a tracking number only if a package does not arrive when scheduled or if the student desires to seek restitution from the delivery service. Also note Institutional Mail Delivery.

U.P. Delivery Addresses-Express delivery service to Upper Peninsula addresses is usually not particularly beneficial or cost-effective, especially 2-3 day service. Also, please consider that there is usually no express delivery on the weekend nullifying the extra cost. First class mail will usually suffice.

Inclement Weather-During the winter months, Upper Peninsula weather can be very unpredictable. Snow storms can slow down or stop the transcripting operations and/or mail transportation and delivery services. University closures due to inclement weather are posted on the Web at www.nmu.edu.
